I’m often throwing ideas out there to my team, my wife, or even my kid. You never really know what sticks but you try anyway.
Most of the time I get a lukewarm response, but occasionally you get an “OH YEAH” (like the Kool-Aid man)

So this happened to us recently. In February, we relaunched Program Recruiters with a major upgrade thinking teams would start with 5 or 10 seats … companies came asking for hundreds. We didn't have pricing for that.
We had to stop, figure out bulk pricing, and come back.
That demand pushed us to create more recruiter educational material. So, this month we’re going deep into the recruiters feature: how it started, its evolution, and what to do with it.

🤔 Why recruiters exist
The original ask came from our customers’ sales teams. These reps out in the field were already generating referrals by providing great experiences, asking customers for introductions, and making connections. But when a referral came in, there was no path back to the rep.
The rep got nothing in return for their hard work.
Program Recruiters was built to give them the credit they deserve. Every referral they earned should get tracked back to them.
But it all had to be easy to use and align with their day-to-day workflow. Each rep gets their own portal and personal link. We shipped a lean first version of the recruiter feature in September 2025.
🌱 How recruiters evolved
Since launching, recruiters have become one of the top three ways companies promote their programs, alongside sending invite emails and putting signup links where customers can find them.
The February 2026 upgrade was built directly from what we heard from early users.
Tools for your frontline recruiters
The window to ask for a referral is smaller than most people think. It opens right after a positive experience (a job completed, a problem resolved, a customer genuinely impressed). And it closes fast. Most of the time nothing happens because the moment slipped by. There's no good time to follow up. The feeling has passed and the customer's moved on.
The Recruiter Portal is built for mobile (new shortcut to add it to your phone’s home screen, added last week!) and gives each rep everything they need to sign someone up, capture a referral, or help a member right there in the conversation.
Sign someone up on the spot - add a member directly to your referral program at an event, at the end of a job, or during a call. No follow-up link required.
Capture referrals without asking the member to do anything - if a customer says "I know someone," your rep logs it directly from their portal.
Every member and referral they generate traces back to them - attribution is automatic, no manual tracking needed.
Help members in real time - answer questions, see their activity, and troubleshoot live.

Managing your recruiting team
Admins get a dedicated view to set up the team, track who's driving results, and keep assignments current as the team changes. Every member a recruiter brings in is tracked back to them - so attribution is clear across the whole operation.
Track recruiter performance - all-time stats per recruiter, last activity dates. Know who's active and who hasn't engaged in weeks.
Keep attribution clean when your team changes - reassign members instantly when reps leave or territories shift. No support ticket needed.
Sync with your CRM - assign recruiters from HubSpot, Salesforce, or Zapier using email or your own external ID. No manual mapping required.
Export recruiter data - export the full dataset for leaderboards, performance reports, or incentive programs.

🧭 Getting started with recruiters
Recruiters are a proven promotion channel but it takes real commitment from leadership. You're managing people, not just configuring features. The teams that get the most out of it start small and scale deliberately.
Pick the right people first - Start with 2-3 top performers - the reps customers trust most and who are already generating word of mouth without trying. Get data from them before going wider.
Train them on the when and how - The best moment to ask for a referral is right after something goes well - a completed project, a resolved issue, a positive check-in. That's when trust is highest and the ask feels natural.
Document what works and build a playbook - What your first recruiters learn becomes the foundation for rolling it out to the rest of the team.

🌟 Product Updates - Universal Search, Mobile Admin, and More
Four updates this month, all focused on making day-to-day program management faster and your data cleaner from the start.
Find anyone, from anywhere in the admin
Before this, looking someone up meant going to the Members or Referrals list page. If you weren't sure whether they were a member or a referral, you'd check one, come up empty, then check the other. Now there's a search bar at the top of every page. Type a name or email and results from all your programs appear as you type. Click a result and it opens in a drawer, so you never navigate away. » Read full details «
The admin now works on your phone
When you log in on your phone, you get a homepage built for small screens. Stats for each active program, one-tap buttons to add members, referrals, and rewards, and universal search built in. It's designed for the things you actually need to do on the go: check numbers, add a member, look someone up. Want it on your home screen? On Android, look for the install prompt when you open the site in Chrome. On iOS, follow the guided instructions on Chrome or Safari. No app store required. » Read full details «
See exactly who's waiting on an invite
The Invite Contacts page now separates members who've been sent an invite but haven't activated from those who haven't been invited yet. A new "Invited" status makes this visible at a glance so you know who needs a nudge and who's just waiting.
Phone number fields now catch bad numbers before they're saved
Phone number fields on member and referral forms now validate on entry. The field auto-detects your country and checks that the number matches the right format. If it doesn't, you'll see an error before it's submitted, so bad numbers don't make it into your program.
